1. Introduction
ColdConnect (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, how long we keep it, who we share it with, and the rights you have. This notice applies to data collected via our website, LinkedIn Lead Gen Forms, emails, phone, and other channels.
2. What personal data we collect
We may collect the following categories of personal data:
– Contact & identity: full name, business email, telephone, job title, company name, company size.
– Technical & usage: IP address, device and browser type, cookies, referrer URL, pages visited, and analytics data.
– Transactional / engagement data: messages you send, calendar bookings, meeting notes where relevant.
– Other: any information you provide in free-text fields (e.g., comments).
3. Sources of the data
We collect data directly from you (forms, contact, meetings) and from third parties such as LinkedIn Lead Gen Forms, analytics providers and our CRM partners when you interact with our ads or content on third-party sites. (LinkedIn Lead Gen Forms require a valid privacy policy URL — we provide this policy URL to LinkedIn).
4. Purposes of processing & legal bases
We process personal data for the following purposes and legal bases:
– To respond to contact/lead enquiries and schedule meetings — legal basis: legitimate interest (supporting B2B sales outreach and service delivery). We will carry out a Legitimate Interest Assessment before processing on this basis.
– To provide services you request (contract performance) — legal basis: performance of a contract.
– To send marketing communications (newsletters, offers) — legal basis: consent where required; or legitimate interest for certain B2B communications where permitted by local law. Where we rely on consent for marketing we will offer an opt-in and an easy unsubscribe option.
– To run and optimize ads & analytics (LinkedIn, Google Analytics) — legal basis: legitimate interest and/or consent for cookies/marketing trackers; see Cookies section.
– To comply with legal obligations (records, audits).
5. Retention periods
We retain lead contact details for up to 24 months from last contact unless you request earlier deletion. Analytics and cookie data retention periods vary by provider (we document partners and their retention windows). If you request deletion we will remove personal data earlier where possible.
6. Recipients & third parties (data sharing)
We may share data with: LinkedIn (Lead Gen Forms), our CRM provider (e.g., HubSpot / Salesforce), analytics providers (Google Analytics), ad platforms (LinkedIn Ads), hosting providers (AWS / chosen region), and other processors required to deliver our services. When we transfer personal data outside the EEA/UK we put in place appropriate safeguards such as the EU Standard Contractual Clauses or equivalent transfer mechanisms.
7. International transfers
If we transfer personal data outside the EEA/UK, we will ensure appropriate safeguards (SCCs or other transfer tools) and document those transfers. For UK transfers, we follow the UK guidance and use appropriate transfer mechanisms.
8. Cookies & similar technologies
We use strictly necessary cookies (required for site function), analytics cookies (to measure website use) and marketing cookies (for ad targeting). You will be asked for consent for non-essential cookies via our cookie banner / consent manager; until consent is given, non-essential cookies will be blocked. 9. Automated decision-making & profiling
We do not use automated decision-making that produces legal or similarly significant effects. If this changes we will inform you and provide human review options.
10. Your rights
Depending on law applicable to you, you may have the right to: access, correct, delete, restrict processing, object to processing (including profiling), data portability, and withdraw consent. 11. How we protect your data
We implement appropriate technical and organizational measures including access controls, encryption in transit, regular backups, and vetting of processors. We avoid publishing operational security details that could be abused.

We may update this policy from time to time. The “Last updated” date at the top will show when changes were made.
